practice policies

We are committed to delivering specialist dental care in a calm, professional environment — where every patient experience is thoughtful, clear, and well supported.

To help everything run smoothly, we’ve outlined a few simple policies. These are designed to ensure clarity, respect everyone’s time, and support the highest standard of care.

patient registration

We use a secure digital system for patient registration and record management. This allows us to maintain accurate, up-to-date information and support safe, effective treatment.

Our registration process includes:

  • general consent for routine care

  • relevant medical history

  • current medications and health information

This information is essential to planning your treatment safely and appropriately.

If you prefer paper forms, these can be provided — however, they will be securely transferred into our digital system.

Please let us know if any of your details change over time, as your general health can directly impact your dental care.

fees and payment

Payment is required on the day of treatment unless prior arrangements have been made.

For more complex treatment, we may request a deposit in advance. If you would like to discuss payment options, we’re always happy to help — we simply ask that these arrangements are made ahead of your appointment.

Where appropriate, we can offer:

  • staged payments

  • automatic payment options

  • interest-free finance through Q Card

Any outstanding accounts not resolved within 90 days may be referred to a collection agency, with associated recovery costs passed on.

Our goal is always to work with you — clear communication ahead of treatment helps us do that.

appointments and cancellations

We kindly ask for at least 24 hours’ notice if you need to change or cancel an appointment.

This allows us to offer that time to another patient and helps ensure our clinicians’ time is used effectively.

Late cancellations or missed appointments may incur a fee, based on the length of the booking. This applies to all patients, including those receiving support through ACC or Work and Income.

treatment consent

We take the time to ensure you feel informed and confident in your treatment.

For more involved procedures, we will:

  • clearly explain your options

  • outline any risks or considerations

  • provide the information you need to make an informed decision

Written consent may be required for certain treatments.

For routine procedures — such as examinations, X-rays, cleans, fillings, extractions, crowns, bridges, and dentures — consent is included within your registration and is considered ongoing.
